Event Manager for Art Festival Production

Full-Time Position – Immediate Opening

Amdur Productions is seeking a full-time Event Manager to join our team. This in-person role is ideal for a highly organized, proactive individual who thrives in a fast-paced environment and is passionate about event planning. With 25+ festivals and events throughout the year in the greater Chicago area, we produce dynamic experiences featuring fine art, live music, food vendors, and interactive activities. Key Responsibilities:

Office Responsibilities:

  • Coordinate food vendors, third-party partners, and other event logistics
  • Assist the VP of Operations with pre-show planning and festival production
  • Manage signage and banners for events, ensuring proper placement and distribution
  • Communicate effectively with vendors, partners, and team members via phone and email
  • Provide support across departments as needed

On-Site Festival Responsibilities:

  • Work with the team to prepare event sites before load-in
  • Assist in managing and directing festival load-in, event production, and load-out
  • Ensure smooth event operations by coordinating with vendors, artists, and staff

Skills & Qualifications:

  • Strong organizational, communication, and multitasking skills
  • Ability to work collaboratively in a team-driven environment
  • Experience in event planning or production preferred
  • Knowledge of Google Suite, Microsoft Office, WordPress, MailChimp (or willingness to learn)
  • A passion for the arts and live events is a plus

Our summer internships are a mix of office pre-production work and on-site event management. As an intern, you’ll gain hands-on experience in every aspect of event planning and execution—from creating artist welcome packets to setting up special features at festivals. Internship Positions

1. Artist Management Intern

Do you love connecting with creative people? The Artist Management Internship focuses on working directly with the incredible artists who participate in our festivals. You’ll work to ensure their festival experience is seamless and enjoyable.

What You’ll Do:

  • Communicate with artists via phone and email to answer questions and provide updates.
  • Manage artist databases, including applications, registrations, and payments.
  • Assist in preparing artist set-up information and marking artist booth spots.
  • Welcome and credential artists during festival setup.
  • Booth-sit for artists and ensure their needs are met during festivals.

2. Event Management Intern

Are you a master organizer with a knack for logistics? The Operations and Office Internship gives you the opportunity to manage key aspects of festival production, from behind-the-scenes planning to on-the-ground coordination.

What You’ll Do:

  • Assist with festival equipment orders, maps, and vendor communications.
  • Update our website with event details and artist information.
  • Help with email and phone communications to local entities and participants.
  • Coordinate with food vendors and other third-party providers.
  • Assist with marketing marketing as needed.

3. Event Operations Intern

Do you thrive in fast-paced environments and enjoy being in the thick of the action? The Field Staff Internship is for those who want to see the tangible results of their hard work by bringing festivals to life on-site.

What You’ll Do:

  • Prepare the event site for artist and vendor load-in.
  • Assist with festival setup, including tents, tables, and signage.
  • Distribute event posters and directionals for each festival.
  • Staff information booths and special feature areas during festivals.
  • Help coordinate load-out and site teardown post-event.

Qualifications

  • Must be available to work in the Chicago area for a minimum of 8 weeks.
  • Weekend and weekday availability is required.
  • Comfortable standing and being outdoors for extended periods, in all weather conditions.
  • Proficient in Google Suite (Docs, Sheets, Drive). Experience with Airtable or Mailchimp is a plus.
  • Enthusiastic, friendly attitude and a desire to work as part of a team.
